What built-in expense approvals means
Expense approvals means an employee’s expense claim or card spend is routed to a manager, approved or sent back, and only then posts or goes for reimbursement — with the approval recorded for audit. A “No” below usually means the ERP has no employee expense claim workflow at all, even where it approves supplier bills; a “Partly” usually means approvals exist only in a separate HR, payroll or expense module.
It matters when you budget because an ERP without expense approvals pushes that control into email and spreadsheets, or into a separate expense tool. Invoice approval workflows are a different feature: an ERP can route supplier bills well and still have nothing for employee spend.
Expense approvals by ERP
Sorted Yes, then Partly, then No, then not publicly documented, and by name within each group. Each ERP links to its full AP and expense feature breakdown.
| ERP | Built-in expense approvals? | What the documentation shows |
|---|---|---|
| 24SevenOffice | Yes | Travel and expense claims (utlegg) are submitted for approval, including on mobile, with per-diem and mileage calculations. |
| Accounting Seed | Yes | Native Expense Reports and Expense Lines (tied to project and project task, with mileage) are submitted for approval; approved reports generate payables to the employee or the credit card vendor, or billings for billable lines. |
| Acumatica | Yes | Native Expense Management (Expense Receipts and Expense Claims) routes claims to the employee's supervisor or through an approval map, and approved claims create AP documents for reimbursement. |
| Acumatica Construction Edition | Yes | Expense Management (Advanced Expense Management) provides expense receipts and expense claims for reimbursement, both routed through approval workflows before posting, with mobile approval. |
| Aderant | Yes | The Expense Management module (Expert 8.0 SP2 onward) handles expense reports with rule-based automated approvals by expense type, threshold and approver. |
| Aqilla | Yes | Expense management is built in. Released expense claims go to approvers, who can approve or reject whole documents or individual lines, with value limits and seniority rules set in Workflow Groups. |
| BQE CORE | Yes | Expense entries follow a submit, forward, approve or reject workflow (statuses Submitted, Forwarded, Approved, Rejected), available on web and mobile. |
| Certinia | Yes | Expense reports in Professional Services Cloud are submitted for approval through configured approval processes. |
| CMiC | Yes | CMiC supports employee expenses coded to company, job, cost code and category (payroll reimbursement). Expenses submitted from the eXpense app went to the relevant administrator for approval. |
| Deltek Ajera | Yes | Native expense reports with supervisor and accounting approval; approved reports create a vendor invoice to the employee for reimbursable lines and bank entries for credit card lines, coded to project and phase. |
| Deltek Maconomy | Yes | Expense and mileage sheets are created, submitted, approved or rejected (including in the Approval Center and in Touch) and sent to an administrator for reimbursement. |
| Deltek WorkBook | Yes | Time & Expense supports personal expense and mileage entries that move through under preparation, for approval and approved statuses with assigned approvers. |
| Dolibarr | Yes | The core Expense Reports module runs Draft, Validated (email to the supervisor), Approved or Refused, then Paid, with separate approve and pay permissions and receipts attached to each report. |
| Dynamics 365 Finance & Operations | Yes | Expense management covers submission through reimbursement. Expense reports route through configurable approval workflows, and expense report and approval policies are set up in Finance. |
| ERPNext | Yes | Expense Claim in Frappe HR (a free, separate app installed alongside ERPNext since v14) lets the employee pick an Expense Approver, who can adjust sanctioned amounts and approve or reject. |
| Financial Edge NXT | Yes | Expense Management is listed in the Financial Edge NXT package. Its Expenses tab lets non-financial users submit card transactions, reimbursement requests and invoice requests. |
| Fortnox | Yes | Receipts submitted through Kvitto & Utlägg route to approvers (attest), who approve or reject with comments. |
| IFS Cloud | Yes | Expense Administration covers expense sheets, manager authorization, and payment or reimbursement to employees, including Payment In Full. |
| iplicit | Yes | Expense Manager handles personal expense claims paid to the employee, with authorisation workflows or automatic approval. |
| JD Edwards | Yes | The JD Edwards EnterpriseOne Expense Management module includes expense reports with workflow (EXPROUTING). Routing rules decide whether manager approval and audit are required, and rejected reports go back to the employee. |
| Jonas Premier | Yes | Field-submitted expenses with receipts go through approvals before processing. |
| Odoo | Yes | Employees group expenses into expense reports that users with at least Team Approver rights approve or refuse (individually or in bulk), after which reports are posted and reimbursed individually, in bulk, or through payslips. |
| Oracle E-Business Suite | Yes | Oracle Internet Expenses (iExpenses, licensed separately) handles employee expense reports and reimbursement. It works with Oracle Approvals Management (AME) and Oracle Workflow to route approvals to managers, cost-center owners, project managers or award managers, then exports approved reports to Payables. |
| Pennylane | Yes | Expense reports (Essentiel and Premium) move through to-approve, to-reimburse and reimbursed statuses. |
| PeopleSoft | Yes | PeopleSoft Expenses routes expense reports and cash advances through configurable Approval Framework approver types. |
| Plex | Yes | Plex ERP's Human Capital Management area tracks employee expenses for travel and education, with configurable workflows for expedited claims processing. |
| Priority ERP | Yes | Priority's professional services edition describes mobile expense entry with built-in approval flows, and its workflow page says expense claims route automatically to the right approvers. |
| Ramco ERP | Yes | Ramco HCM Travel & Expenses covers travel planning, approvals and expense claims for reimbursement, and Payce Daily HR has an Expense module. |
| Striven | Yes | Employee Expenses: employees submit expenses (single or multiple) from their profile using configured Expense Types. Managers approve in the Expenses Queue, with optional manager notification. |
| Unit4 | Yes | The Travel Expenses module handles expense claims with per diem rules, cash advances and multi-currency. Claims go through workflow approval by the line manager or project manager and are reimbursed through Accounts Payable or Payroll. |
| Xledger | Yes | Managers review and approve expense claims through paperless workflows, including on mobile, with reminders and delegation. |
| xTuple | Yes | Time & Expense worksheets are approved by a manager before vouchering. Employees and contractors are set up as vendors, and processing creates an unposted AP voucher to reimburse them. |
| Akaunting | Partly | The Expense Claims app (from $5/month, included in the Premium cloud plan and above) lets employees submit claims marked paid by employee, assigns an approver who approves or refuses, and tracks reimbursement status. |
| Bullet | Partly | Employee or director expenses are recorded as bills marked 'Who Paid' and the reimbursable amount flows automatically into the next payroll run; the expense guide and expense-tracking page describe no approval step. |
| Business Central | Partly | Native Expense Management (production-ready preview) lets employees submit expense reports that managers approve or reject, after which the reports are posted and reimbursed. |
| Clear Books | Partly | Employee Expenses (submit for approval; manager approves; approval raises a bill payable to the employee; mileage at HMRC or manual rates) is included only on the Large plan. |
| Deskera Books | Partly | Employee expense claims with manager approve/reject and journal posting configuration are in Deskera People/People+ (the HR product), not Books itself. |
| Epicor BisTrack | Partly | Employee expenses and advances, plus mobile expense reports with approval, live in the separate Epicor Financials product and its Time and Expense Management apps. However, this is not documented in BisTrack itself. |
| Exact Online | Partly | Employee expense claims with manager approval (one-swipe in the app) and export by GL account and cost centre are provided by Exact Expense Management (SRXP), a separately priced add-on (AUD 5–13 per user or per report on the AU page). |
| Foundation Software | Partly | FOUNDATION Pay Corporate Card, a separate product, offers approval workflows for card spend that follow the org chart. However, no native out-of-pocket expense report or reimbursement workflow was found. |
| FreeAgent | Partly | Users with access level 2 can create and edit their own out-of-pocket expenses and mileage claims, which are tracked for reimbursement and can be rebilled to projects. However, FreeAgent's access-level documentation describes permission levels only, with no manager approval step for expense claims. |
| Holded | Partly | Employee expense reports can be sent into the Inbox and converted to purchase documents that an accounting user reviews and approves, but no dedicated employee expense-claim, approver-routing or reimbursement workflow is documented (HR approval flows cover absences and time records). |
| Infor LN | Partly | LN's Hours and Expenses (People) module registers general and project expenses and lets authorized managers approve them, but reimbursement-style expense reports with receipts and policy checks come from Infor Expense Management, which integrates with LN. |
| Infor SyteLine | Partly | Employee expense report creation and approval run in the separately licensed Infor Expense Management add-on; SyteLine then pays approved reports as A/P vouchers to an employee-linked vendor or through payroll (Process External Expense Report in A/P parameter). However, core SyteLine's Service module only has an Expense Approval form for partner (field service) material, labor and miscellaneous transactions. |
| Manager.io | Partly | A native Expense Claims tab records out-of-pocket spend by employees, members or expense claim payers (account, tax code, division per line), and reimbursement is recorded as a payment. However, the guide describes no submission or approval step: an accounting user keys the claims. |
| NolaPro | Partly | Employee out-of-pocket expenses are imported by CSV into AP bills, which then go through the AP bill approval process. However, NolaPro has no dedicated expense-report module. |
| QuickBooks Online | Partly | Employee expense claims (employees submit receipts, admin reviews and approves or rejects, approved claim is reimbursed/marked paid) are a QuickBooks Online Advanced feature. |
| Sage 200 | Partly | Sage 200 Professional's Project Accounting includes expense claims that are entered in the desktop or the Self Service web app, authorised if authorisation is enabled, and then posted. |
| Sage Business Cloud Accounting | Partly | The AutoEntry add-on, sold as a separate subscription, includes expense reports with approvals, reimbursable expenses and mileage, and publishes them into Sage Accounting. However, Sage Accounting itself has no documented employee expense claim or approval workflow. |
| SAP Business One | Partly | Reimbursements have to be processed as A/P invoices or outgoing payments, both of which approval templates can cover. However, Business One has no dedicated expense report or expense claim document: none appears in the DI API object types or the approval template document types. |
| SylogistMission ERP | Partly | Base Business Central (not Sylogist-specific): the new Expense Management module (Expense Reports with manager approve/reject, per diem, mileage and reimbursement posting) has been in public preview since May 8, 2026, with general availability planned for October 2026. |
| Viewpoint Spectrum | Partly | In Traqspera (the separate HR Management for Spectrum product), expenses entered on a timesheet are submitted for reimbursement and can be edited until the timesheet is approved, then exported to Spectrum. However, Spectrum core has no documented employee expense report module. |
| Viewpoint Vista | Partly | In HR Management for Vista, users create, code and submit expense receipts. Reviewer groups approve them, and an Expense Admin transfers approved expenses to Vista payroll timecards or AP batches for reimbursement. |
| Wiise | Partly | The Expense Agent (public preview) includes basic, interim, auto and deferred approval levels, extendable with Power Automate or Copilot Studio, and handles posting and payment; the standard documented process is manual review and payment through journal entries. |
| Workbench | Partly | Employees log expense claims for reimbursement from desktop or mobile, and claim costs flow to jobs. However, the vendor pages we reviewed don't describe the approval step for claims. |
| Xero | Partly | Xero Expenses lets employees submit receipt and mileage claims that a manager or admin approves or declines; approved claims become bills to pay. However, in the US this is only included on the Established plan (excluded on Early and Growing); Xero also refers to usage charges for Xero Expenses on billing. |
| Zoho Books | Partly | Zoho Books records expenses but its transaction approval feature does not cover the Expenses module, so there is no expense report or reimbursement approval inside Books. |
| Aplos | No | No native employee expense report or reimbursement workflow. Aplos help docs cover recording reimbursements from third-party tools (Expensify, Gusto, Ramp and a prepaid card provider). |
| Buildium | No | No native employee expense report or out-of-pocket reimbursement workflow was found in Buildium's help center; Card Management offers only card spend policies and admin text-message approval of one-time over-limit purchases. |
| Campfire | No | No native expense report or reimbursement module was found. Campfire's integrations page names Expensify for expense tracking, approvals and reimbursements, and Ramp and Brex reimbursements sync in as journal entries. |
| DoorLoop | No | DoorLoop's help center (about 1,100 articles crawled, including the 25-article A/P collection) documents expenses and bills recorded directly by staff. It describes no employee expense report, reimbursement claim or approval workflow. |
| FreshBooks | No | Based on a review of the docs, there's no submit-and-approve workflow. Employee and Manager team roles can only manage their own expenses, and reimbursement is a field in FreshBooks Payroll rather than an expense-claim flow. |
| Gravity Software | No | No native employee expense report or reimbursement workflow. Gravity's FAQ and integration page point to Ramp for expense management. |
| Jiwa Financials | No | A review of the docs found no employee expense claim or reimbursement workflow in the feature tour, the Jiwa 8 user guide or the Plugins Store. |
| KashFlow | No | Checked against all ~430 help-center topics: there is no expense-claim or approval workflow. |
| Kashoo | No | Based on a review of the docs, there's no employee claim or approval flow. User roles are only Admin and Billing, Admin, View/Edit and View Only, and "reimbursable expenses" in Kashoo means costs re-billed to a client. |
| MRPeasy | No | The user manual has no employee expense report or reimbursement module. The only approval types are for manufacturing orders and purchase orders. |
| MYOB | No | MYOB Business has no employee expense-claim approval workflow; employee reimbursements go through pay. |
| Navision | No | The NAV 2018 procedure for employee expenses has accounting staff post each expense in a general journal against the employee's account and reimburse it through the payment journal. It describes no employee submission or expense-report approval step. |
| Propertyware | No | A support-center review found no employee expense report or reimbursement module. Reimbursements in the docs refer to owner and management-company bill handling, not employee expense claims. |
| Puzzle | No | No native expense report or approval workflow is described. Puzzle's reimbursement guide relies on Ramp (reimbursement detail flows in when synced) or on manual accounting: split the payment transaction or post a journal entry to a reimbursement clearing account and attach the receipts or expense report. |
| QuickBooks Desktop | No | Intuit's help docs show no employee expense report or reimbursement approval workflow. Reimbursements are added by hand to paychecks as a nontaxable payroll item (this needs a QuickBooks Desktop Payroll subscription), and approval routing covers only bills and purchase orders in Enterprise. |
| QuickBooks Desktop Enterprise | No | Intuit documents no built-in employee expense report or reimbursement approval workflow for Enterprise. |
| QuickFile | No | No employee expense-claim module is documented: QuickFile guides record out-of-pocket expenses and mileage as purchases to an expenses supplier (paid via Directors' Loan Account or drawings) entered by the bookkeeper, with no employee submission or approval step. |
| Rentec Direct | No | No employee expense report or reimbursement approval workflow appears in the Rentec Direct help center; expenses are posted directly to property ledgers by users with the right permissions. |
| Rentvine | No | No expense report or reimbursement approval workflow is documented; Rentvine's help reimburses the management company by manually creating and paying a bill with the company as payee. |
| Rillet | No | Rillet has no native expense-report workflow. Its docs list Expensify, Ramp, Brex and other spend-tool integrations, which send approved reports and reimbursements into Rillet. |
| Saasu | No | Saasu's reimbursement guide handles employee expenses by entering a purchase with the employee as the contact (receipts attached) or through a payroll pay item; it describes no claim submission or approval workflow, so approval happens outside the system. |
| SoftLedger | No | There is no native expense-report or reimbursement workflow. SoftLedger's Expensify integration turns approved Expensify reports into AP bills, so approvals happen in the third-party tool. |
| Spire | No | The Spire 4.1 manual has no employee expense report or reimbursement workflow; out-of-pocket costs would be entered as AP invoices. |
| Tryton | No | No official upstream expense-reimbursement module exists, per the Tryton forum and the module list. |

How to read this comparison
- Yes: the vendor’s public documentation describes the feature as part of the product.
- Partly: the feature exists with a documented limit — an edition or add-on, a file import rather than a live connection, or a step that is missing.
- No: the documentation describes no such feature, or points to partners for it.
- Not publicly documented: the public documentation does not settle it either way, often because the help site needs a customer login.
Where Vergo fits
Vergo is expense and AP automation built around the ERP you already run. It integrates with every ERP in the table and posts coded card spend into it, and it works with any card from any bank — connecting your existing cards involves no card applications, no re-issuing and no banking change.
Approval workflows are optional and fit how you already control spend: route by GL account or by amount — or skip approval flows entirely and let policy flags catch only what breaks a rule. Approvals run on the spend before it posts into the ERP, so they work the same whether or not your ERP has an expense claim workflow of its own.
For Foundation Software, QuickBooks Online, Viewpoint Spectrum and Viewpoint Vista, Vergo also covers employee reimbursements: approved claims sync to payroll or AP for payment. Vergo never issues cards and never pays anyone: payment stays in your ERP or your bank.

Which ERPs include expense approvals as standard?
32 of the 88 core ERPs in this comparison document built-in expense approvals, among them PeopleSoft, JD Edwards, Oracle E-Business Suite and Dynamics 365 Finance & Operations. Some tie it to a specific edition or plan; the one-line detail notes it where the documentation says so.
What does “Partly” mean in this table?

Does Vergo replace my ERP’s expense approvals?
No. Your ERP stays your ledger. Vergo integrates with it and posts coded card spend into it, whichever of these features the ERP has built in.
Does Vergo issue cards or pay anyone?
No. Vergo never issues cards and never moves money. It works with any card from any bank, and payment stays in your ERP or your bank.
How current is this comparison?
